KS Chat Privacy Policy

KS Chat is an app for iPhone and Android by Kristal Studios LLC (“we”) for the people who work at Kristal Studios — our booking specialists, photographers, editors, Zoom Experts and the studio’s owners. It works with Panda, the studio’s own system, and needs a Kristal Studios staff account. Clients never use it. This policy explains what the app collects, why, and where it’s kept.
What we collect, and why
Only what the app needs to work. All of it is linked to your staff account:
- Your name and email — to sign you in and to show your team who wrote.
- What you send — messages, photos, PDF files and reactions.
- Your user ID — your account’s number in Panda, so conversations and notifications reach you.
- A notification token and your phone’s name — the token lets Apple (on iPhone) or Google (on Android) deliver notifications to your phone; the name shows you and the owners which phones are signed in.
We use this only to run the app. KS Chat has no tracking, no advertising and no analytics, and we never sell your information.
Where it’s kept
Everything is kept on the studio’s own servers, in Panda. Team messages, with their photos and files, are kept for one year and then deleted. Photos are sent without their metadata, so a photo’s location never leaves your phone. On your phone the app keeps only a sign-in key — on iPhone in the Keychain, on Android encrypted with a key in the phone’s Android Keystore and never backed up; your password isn’t stored on the phone. Notifications are delivered through Apple’s push service on iPhone and Google’s Firebase Cloud Messaging on Android; a notification carries only its title, its words and what it opens.
Client information
The Inbox, and a photographer’s sessions, show the studio’s clients: their names, conversations, pets and session details. This is Kristal Studios’ business information. The app shows each person only what Panda shows them, under the studio’s access rules. Texts to clients go from the studio’s number, as they do from Panda. What clients share with us is covered by our website’s Privacy Policy.
Photos, files and notifications
The app sees only the photos and files you pick to send. It sends notifications for messages to you once you allow them.
Signing in
You sign in with your Panda email and password, plus a 6-digit code if two-factor sign-in is on for your account. Panda emails you when a phone signs in to KS Chat and limits repeated sign-in attempts.
Children
KS Chat is for Kristal Studios staff and is not directed to children under 13.
Removing your account
Sign out in the app’s Settings, or delete the app, to remove the sign-in key from your phone. To have your account removed, ask a studio owner: they deactivate it in Panda, which signs out every phone at once. To ask what we keep about you, write to us.
Changes
If this policy changes, we’ll update this page and its date.
